How it works

You describe the operation. Floowed runs every case of it.

Five stages on every case, one dashboard where you set the rules and watch the work, and the channels your team already uses. This page shows each part.

01 · The five stages

Every case goes through the same five stages.

Not in a straight line. A case can read, chase and act many times before it decides, and wait minutes or weeks in between.

  1. 01

    Gather

    Pulls what the case needs.

    • From people, by email or a form link
    • From your systems: CRM, accounting, storage
    • Whatever it arrives as: PDF, scan, photo, spreadsheet
Example: the Tessaro Foods handoverPulled the signed contract from DocuSign, the PO from the inbox and the deal from HubSpot.
  2. 02

    Interpret

    Reads and checks what arrived.

    • Reads every document, in whatever shape it comes
    • Checks documents against each other and your systems
    • Records the page and line behind every value
Example: the Tessaro Foods handoverRead a phone photo of the PO: 60-day terms, where the contract says 30.
  3. 03

    Chase

Follows up until it has what it needs.

    • Knows who owes what on every case
    • Follows up on your schedule, by email, Slack or Teams
    • Escalates to a person when a rule says so
Example: the Tessaro Foods handoverEmailed Tessaro’s AP team, then chased again after 48 hours without a reply.
  4. 04

    Decide

Applies your rules, the same way every time.

    • Your rules, in plain words, make the call, not the model
    • Routes exceptions to the right person
    • Keeps every decision with its evidence
Example: the Tessaro Foods handoverCorrected PO in, all 4 of your rules pass.
  5. 05

    Act

Writes to your systems and keeps people posted.

    • Updates your systems at any step, not only the end
    • Tells the right people where the case stands
    • Closes the case, or starts the next operation
Example: the Tessaro Foods handoverSet up billing in Xero, booked the kickoff, told customer success.

02 · The Floowed Dashboard

One place to set the rules and see the work.

The Floowed Dashboard is where operations are built, changed and measured. Most people only open it to change a rule or look something up.

Rules, in plain words or code

Describe a change in a sentence and Floowed writes the rule. Switch to code when you want exact control.

When the PO terms differ from the contract, chase their AP team every 24 hours, up to 3 times, then tell sales.
when po.terms != contract.terms
chase customer.ap every 24h max 3
then notify #sales

  • Evidence on every stepEach value keeps its source, down to the page and line, with the rule version that used it.

Questions

What happens to each case?

Every case goes through five stages: Gather what it needs, Interpret the documents and data that arrive, Chase whoever still owes something, Decide by your rules, and Act in your systems. A case can loop through them as often as it needs, over minutes or weeks.

Does the AI make the decisions?

No. Your rules decide, in a deterministic policy engine, with every version kept. Models read documents and draft messages, and you choose how many cases settle without a person.

Where do cases come from?

From email, Slack, Microsoft Teams, an upload, the API or MCP, or a change in one of your systems. Customers and suppliers just reply to email.

Can I test a change before it goes live?

Yes. Every operation is versioned in the Floowed Dashboard. You can run your tests and replay a rule change on past cases before you publish it.

What does it cost?

Start free with $80 of credits, no card and no sales call. After that, sizes start at $100 a month for 10,000 credits, with no seats and every integration included.
